If you are setting up PrivePas for the first time, this guide walks you through every step from the moment you pay to the moment the first guest scans at your gate. Follow it in order and your event will be fully configured in under an hour.
Step 1: Purchase Your Pass
Go to privepas.com/pricing and select your tier based on expected guest count. Single Event passes start at ₦170,000 for up to 200 guests. Pay through Paystack all Nigerian debit cards, bank transfer, and USSD work. After payment clears, your account is created automatically. Check your email for login details. If they do not arrive within five minutes, check your spam folder.
Step 2: Log In and Create Your Event
Log in at privepas.com/login with the email address you used at checkout. Once inside your dashboard, you will see a prompt to set up your event. Enter the event name, event date, and your final guest count. These details appear on the invitation cards and in your reports make sure they are correct before proceeding.
Step 3: Upload Your Guest List
Navigate to the Guests page from your event dashboard. You have two options:
CSV Upload (recommended for 10+ guests): Prepare a spreadsheet with at minimum a Name column. Add an Email column if you want PrivePas to send invitation emails directly. Export from Excel or Google Sheets as a CSV file and upload it. The system creates a unique guest record and QR code for each row automatically.
Manual entry: Use the Add Guest button to enter guests one at a time. Suitable for small guest lists under 15 people or for adding late additions.
Step 4: Choose Your Card Mode
Go to the Cards page in your dashboard. At the top you will see two delivery method options.
PrivePas Invitation Card is the standard mode. You upload your designed invitation card as a PNG or JPG. The layout panel then lets you enter X and Y percentage coordinates to position the guest name on the card, set the font size and text colour, and set X, Y, and size values for the QR code. These are precise numeric inputs type the values you want and click Save to see the live preview update. The preview shows a sample card so you can confirm the positioning looks right before generating for all guests. If you do not have a design yet, you can request the PrivePas card design service for an additional fee.
My Own Card + Separate QR Pass is the alternative mode for organisers who already have their own invitation design and only need PrivePas to handle the entry pass. In this mode you optionally upload your invitation card image. PrivePas then emails each guest a personal QR entry pass, and if you uploaded a card it is automatically included at the top of that email. There is no template layout step PrivePas generates the QR pass separately from your design.
Step 5: Generate Cards (PrivePas Invitation Card mode only)
If you chose PrivePas Invitation Card mode, click Generate All. PrivePas creates one personalised card image per guest with their name and unique QR code placed at the exact coordinates you configured. For a 200-guest event this typically takes one to two minutes. Large lists are split into batches automatically each batch downloads as a separate ZIP file. A progress bar shows how many cards have been created out of the total. If you have added new guests since the last generation run, use the New Only button to generate cards only for them without re-generating the entire list.
If you chose the Separate QR Pass mode, there is no generation step. You go directly to step 6 sending.
Step 6: Send Invitations
Go to the Guests page and click Send Invitations. Choose "Unsent only" to send only to guests who have not yet received their card. PrivePas sends each guest their personalised card by email attached as a JPEG image. This is included in every activation at no extra cost. For guests without email addresses, download their cards from the ZIP file and distribute via WhatsApp manually.
Step 7: Set Up Your Security Staff
Navigate to the Security page on your event dashboard. Click Add Staff Member and enter the name of each person who will be scanning at your gate. PrivePas generates a unique scanner link for each staff member. Share the link with them via WhatsApp. On the day of the event, they open the link in any smartphone browser, allow camera access, and they are ready to scan. No app download needed. No login needed.
Test the scanner on your own phone before the event: open one of the staff links, scan a guest's QR code, and confirm it shows the green valid response.
Step 8: Monitor on Event Day
Open your event dashboard on your own phone or laptop. The Monitor tab shows a live view of every check-in as it happens guest name, timestamp, which staff member scanned, and a running count. You can watch from anywhere. You do not need to be physically at the gate to know what is happening there.
Step 9: Download Your Report
After your event ends, go to the Results page. PrivePas generates a full attendance report: total guests invited, total checked in, no-shows, per-staff scan counts, peak arrival hour, and a timestamped log of every entry. Download it as a PDF it is ready to send to a client or keep for your records.
Common Setup Questions
What if a guest loses their invitation? Find them on your Guests page, click Resend, and their original card is emailed again. The QR code does not change.
What if I need to add guests after setup? Add them at any time before the event. New guests get their own QR code automatically.
What if a guest's phone dies at the gate? Your security staff can search the guest list manually from their scanner screen. Find the guest by name and manually mark them as checked in.
