Setting Up PrivePas for Large Events: 500+ Guests in Lagos

Events with 500 or more guests require more careful gate configuration. Here is how to set up multiple entry points, manage high-volume scanning, and keep entry flowing.

Large events in Lagos concerts, award ceremonies, corporate galas, large weddings present a different category of challenge from private dinners. When 500 people arrive within 30 minutes of each other, the gate experience can make or break the event. Here is how to configure PrivePas to handle it.

Multiple Entry Points

For events above 300 guests, plan for at least two active scanning stations. Each station needs one PrivePas security staff link and one phone. All links connect to the same event database a scan at Station A immediately blocks that QR code at Station B. You can have 10 stations running simultaneously with no coordination needed between them.

To set this up: go to your Security page and add as many staff members as you need scanning stations. Each gets their own unique link. Distribute and confirm each link is working before guests arrive.

Staging Your Guest Arrival

For events over 400 guests, consider staggering arrival times on the invitation. Invite one group for 5pm, another for 6pm. You can reflect this on individual invitation cards during card generation. Staggered arrivals reduce peak congestion by 40 to 60 percent without reducing attendance.

Staff Briefing at Scale

With multiple scanning stations, your staff cannot see each other. Brief everyone at the same time before the event opens. Cover exactly three things: how to read the scanner response (green = in, any other colour = stop and verify), what to do with an invalid scan (hold the guest, contact coordinator), and who the coordinator is and how to reach them.

The Overflow Queue

Position one team member at a secondary station with your guest list open on their dashboard. This person handles: guests whose phones have died, guests with connectivity issues, guests who cannot find their invitation, and VIP arrivals who bypassed the main queue. Without a dedicated overflow station at a large event, these exceptions create bottlenecks at the main gate.

Live Monitoring During Entry

The organiser or event manager should have the dashboard open on their phone throughout the arrival window. Watch the cumulative check-in count. If the count is significantly below expectation at 90 minutes in, something may be wrong at a gate a staff member's phone may have died or connectivity may have dropped.
