Your PrivePas setup is complete. The event is tomorrow. Here is what to do the day before and on the day to make sure the gate runs without issues.
The Night Before
Test every scanner link. Open each staff scanner link on the phones your team will actually use not your own phone. Scan a test card and confirm it shows green. If you see a camera permission error, go to the phone's browser settings and enable camera access for the site.
Make sure staff have data, not just Wi-Fi. Venue Wi-Fi in Lagos is unreliable. PrivePas scanning requires an internet connection. Every scanner phone should have active mobile data as the primary connection.
Save scanner links as browser bookmarks, not WhatsApp links. WhatsApp sometimes wraps links in a preview browser that does not have camera access. Have staff open the link in Chrome or Safari and bookmark it directly.
On Event Day
Open scanners 15 minutes before doors. Staff should have their scanner open and tested before the first guest arrives. A scanner that is "not working" at the moment the first guest scans is often just a camera permission that was never granted.
Keep your dashboard open on your phone. Watch arrivals in real time. If check-in count stops moving while guests are clearly arriving, check in with your gate team immediately.
Handling Common Gate Problems
"The QR code is not scanning." Ask the guest to increase their screen brightness. In bright outdoor conditions, low-brightness screens can prevent the camera from reading the code. If it still will not scan, find the guest by name in the search bar on the scanner screen.
"It says Already Checked In." This means the code was used earlier. Ask the guest when they arrived. If they are certain they did not check in, the code may have been shared. Treat it as a security alert hold the guest and contact your coordinator.
"Invalid Code." The guest is not on the list. Do not let them through the main gate. Redirect to your secondary station to verify identity against the original guest list.
"My phone lost internet." Switch to mobile data immediately. Do not try to reconnect to venue Wi-Fi mid-event. PrivePas scanning does not work offline connectivity is required for real-time validation.
After Entry Closes
Go to your Results page and download the attendance report. This is a PDF with every check-in timestamped. It is your record of the event. Send it to your client or file it for your records. The report is available immediately after the event ends.
